Event, class and launch reminders on WhatsApp: utility or marketing?

Updated on October 25, 2026

A WhatsApp event reminder qualifies as a utility template when it is about a registration or purchase the person already made (confirmation, date, time, access link, schedule change) and carries no promotional tone. If the message invites people who never signed up, pushes an offer or tries to sell the next step, Meta classifies it as marketing. The template’s content decides the category, not the category you pick when you create it.

This guide covers Meta’s official criteria, a table of common cases (class, live stream, webinar, product launch), copy that tends to pass and copy that turns into marketing, how to use variables, and what happens if your template gets recategorized.

Meta’s rule in one sentence

Meta’s template categorization documentation says a template is utility only if it meets both conditions:

  1. Non-promotional: no persuasive intent, offers, discounts, buying urgency or product recommendations.
  2. Specific to or requested by the user: clearly tied to their order, account, service or transaction, or essential to them (for example, for safety).

Templates that mix utility and marketing content are classified as marketing. So are vague templates that contain only a variable or a “Congratulations!”.

For events, Meta itself uses an invitation as an example of awareness marketing: “{{Diwali}} is around the corner! Join us at {{location}} on {{date}}”. In other words, an invitation is marketing. What can be utility is the operational notice about something the person already bought or signed up for.

Table: class, live stream, webinar and launch

SituationLikely categoryWhy
Registration confirmation for a class or webinar, with date, time and linkUtilityResponds to the user’s action and includes their registration details
“Your class starts today at 8 p.m.” reminder for registrantsUtilityOperational information tied to the registration
Change of time, room or link for an already scheduled eventUtilityUpdate to a service the person signed up for
Delivery of the material or recording promised at sign-upUtility, if no offerDelivers what was requested
Invitation to an event for someone who never registeredMarketingBuilds awareness and interest; doesn’t respond to an action
“Last spots”, “don’t miss out”, “save your seat”MarketingPersuasive language
Class reminder plus “and there’s a special deal at the end”MarketingMixed content becomes marketing
Cart opening, launch offer, limited-time bonusMarketingDirect sales
Generic satisfaction survey about the eventMarketingMeta accepts surveys as utility only when they refer to a specific interaction

The column says “likely” because Meta classifies each text individually. The table summarizes the official criteria; it doesn’t guarantee approval.

Sample copy

Copy that reads as utility

Registration confirmation:

“Registration confirmed, {{1}}. The class {{2}} takes place on {{3}} at {{4}} (Brasília time). The access link will be on the button below on the day of the event.”

Same-day reminder:

“Reminder about your registration: the class {{1}} starts today at {{2}}. Use the button below to join the room. If you can’t attend, reply CANCEL.”

Schedule change:

“Update on your registration for {{1}}: the session has moved to {{2}} at {{3}}. Your access link stays the same.”

What these have in common: they mention the person’s registration, include concrete data (event name, date, time), and the button leads to the room or calendar, not to a sales page.

Copy that turns into marketing

  • “Live class tomorrow and you can’t miss it! Save your seat now.” (invitation with urgency)
  • “Your class starts at 8 p.m. Stay until the end to get an exclusive bonus.” (notice plus incentive)
  • “The cart opens today at 8 p.m. with 50% off for everyone on the list.” (offer)
  • “Congratulations, {{1}}!” (too vague)

If your launch relies on messages like these, send them as marketing templates to a list with marketing opt-in. See how to build an opt-in list.

Variables: what passes and what gets rejected

Variables (parameters) make the template specific to the person, which helps the utility case. But formatting rules reject a lot of event templates. According to Meta’s template review page and templates overview:

  • The text can’t start or end with a variable.
  • The number of variables must be proportional to the text length. Too many variables in a short text is a rejection reason.
  • Positional variables are numbered in sequence ({{1}}, {{2}}…), with no gaps and no characters such as #, $ or %.
  • Named variables ({{event_name}}) are also supported, in lowercase with underscores, set through parameter_format.
  • Every template with variables needs a sample value for each one at creation.

A utility template body accepts up to 1,024 characters, the footer up to 60, and you can add up to 10 buttons of the URL, phone number, quick reply, copy code and call request types, per the utility templates documentation.

A practice that helps: keep the event name, date and time as variables, but write the word “registration” as fixed text. That way, even with generic sample values, the reviewer can tell the message responds to a user action.

For the most common rejection reasons, see rejected WhatsApp templates. For the logic behind the three categories, see how Meta classifies your template.

Why the category matters

Cost. Meta charges per delivered message, by category. For recipients in Brazil, the BRL rate card in effect since October 1, 2026 lists R$ 0.0350 (Brazilian reais) per utility message and R$ 0.3217 per marketing message. Since October 1, 2026, utility messages sent inside the customer service window are also charged, according to the pricing page.

Delivery. Marketing is subject to the per-user limit: Meta caps how many marketing templates each person receives from all businesses. A class reminder sent as marketing may simply not arrive. See per-user marketing limits.

Account risk. Using utility for promotional content carries its own penalties, described below.

What happens if Meta recategorizes it

Per the categorization documentation:

  • At creation: since April 9, 2025, if you choose UTILITY and Meta decides it’s marketing, the template is approved as MARKETING. It works, but with marketing pricing and rules.
  • After approval: Meta can update the category with 1 day’s notice, via email, a WhatsApp Manager banner and the template_category_update webhook. Businesses that have already been warned lose this advance notice.
  • Review: you can request a review within 60 days through Business Support Home.

For businesses that keep labeling marketing as utility, restrictions escalate:

LevelWhat happensDuration
WarningWritten notice to admins; category changes become immediateOngoing
Rate limitingUtility messages capped in a rolling 24-hour windowAt least 7 days
Utility restrictionAll utility templates become marketing; creating new ones and requesting reviews is blocked7 days (30 for repeat violations)
Portfolio restrictionSame, across all messaging accounts in the business portfolio30 days

During a launch, a utility restriction takes down your class reminders in the most important week. It’s not worth the risk.

How to create and send the reminder with Vectalk

Vectalk uses the same payload format as the Cloud API. To create the template, call POST /api/templates with an instance token (the WABA is resolved from the token), as described in the create template docs:

curl -X POST https://apis.vectalk.com.br/api/templates \
  -H "Authorization: Bearer YOUR_INSTANCE_TOKEN" \
  -H "Content-Type: application/json" \
  -d '{
    "name": "class_registration_reminder",
    "language": "en_US",
    "category": "UTILITY",
    "components": [
      {
        "type": "BODY",
        "text": "Reminder about your registration: the class {{1}} starts today at {{2}}. Use the button below to join the room.",
        "example": { "body_text": [["Intro to the API", "8 p.m."]] }
      },
      {
        "type": "BUTTONS",
        "buttons": [
          { "type": "URL", "text": "Join the class", "url": "https://example.com/room/{{1}}", "example": ["class-01"] },
          { "type": "QUICK_REPLY", "text": "I can't attend" }
        ]
      }
    ]
  }'

The response returns the id, the status (PENDING until review) and the category. Check the category once the template is approved: if it comes back as MARKETING, rework the text before using it.

To send it, call POST /api/messages with type: "template":

{
  "messaging_product": "whatsapp",
  "to": "5511999999999",
  "type": "template",
  "template": {
    "name": "class_registration_reminder",
    "language": { "code": "en_US" },
    "components": [
      {
        "type": "body",
        "parameters": [
          { "type": "text", "text": "Intro to the API" },
          { "type": "text", "text": "8 p.m." }
        ]
      },
      {
        "type": "button",
        "sub_type": "url",
        "index": "0",
        "parameters": [{ "type": "text", "text": "class-01" }]
      }
    ]
  }
}

Register a webhook (POST /api/webhooks) to receive taps on “I can’t attend” and delivery statuses. Message costs are included in your Vectalk invoice, and Vectalk pays Meta. Create your account at apps.vectalk.com.br/register. If you sell online courses, the guide WhatsApp for course creators covers the full journey.

Event reminder checklist

  • The person registered or purchased, and you keep a record of it.
  • The text mentions the registration and includes concrete data (event, date, time).
  • No urgency, offer, bonus or discount wording.
  • The button leads to the room, calendar or material, not the sales page.
  • The text doesn’t start or end with a variable, and every variable has a sample.
  • Launch offers go out in a separate marketing template, to people with marketing opt-in.

Frequently asked questions

Is a reminder for a free live stream a utility message?

It can be, if the person registered for the live stream and the text only shares date, time and link, without persuasion. If the live stream is announced to people who never registered, it’s an invitation and therefore marketing.

Can the reminder button link to my sales page?

Not in a utility template. A button that leads to an offer gives the message promotional intent, and mixed content is classified as marketing.

I chose utility and the template was approved as marketing. Now what?

You can use it as marketing, request a review within 60 days through Business Support Home, or write a new version without promotional elements. Resubmitting the same text doesn’t change the outcome.

Do I need opt-in to send event reminders?

Yes. Meta requires opt-in before a business messages people on WhatsApp. For an event, the registration form itself can collect that consent, as long as it states the business name and that it will send updates via WhatsApp.

How many reminders can I send before a class?

Meta doesn’t set a number for utility. In practice, a confirmation, a reminder the day before or on the day, and any schedule change cover what’s needed. Too many messages lead to blocks, which hurt your phone number quality rating.
