It’s short, personalized with variables that make sense, uses emojis only where they help readability and makes it clear how to opt out. Since all marketing through the API goes through an approved template, the copy also has to respect Meta’s limits and review rules.

This guide is about copywriting technique. If you’re looking for ready-made copy, see the 60 WhatsApp template examples by industry.

The structure: hook, value and CTA

Hook. It’s what shows up in the notification and at the top of the chat. It should answer “why am I getting this now?”. Good hooks use something the customer recognizes: their name, the last product they bought, a date or a specific benefit.

Value. One or two sentences about what the person gets: price, deadline, terms, what’s new. Swap adjectives for facts. “Unmissable discount” says less than “20% off the kit until Sunday.”

CTA. One action, one verb, one destination. “See offers,” “Book my slot,” “Get the coupon.” If there are two possible actions, the second is usually the way out (“Stop offers”).

A skeleton that works for most campaigns:

Hook, with
{{1}}
for the name or context.

Value: what, how much and until when.

Optional detail: terms, shipping or stock.

Footer: how to leave the list.

Buttons: main CTA and “Stop offers.”

Length: what Meta allows and what works

The limits for each template component are in the template components documentation:

Component

Limit

Copy tip

Text header

60 characters, up to 1 variable, no Markdown special characters

Use it for the hook or the offer name

Body

1,024 characters

Far less than that; read it on a phone before sending

Footer

60 characters

Opt-out instruction or a short legal condition

Button text

25 characters

Verb + benefit

Buttons

Up to 10 in total, up to 2 URL buttons

With more than 3, WhatsApp shows 2 and hides the rest under “See all options”

The 1,024 limit is a ceiling, not a target. On a phone screen, long messages require scrolling and bury the CTA. As a working reference, try to fit the essentials in the first three lines and test the message on a real phone before submitting it.

Personalization with variables

Variables (
{{1}}
,
{{2}}
or named ones) are what keep a message from reading like a flyer. Use them when the data exists and is reliable:

Name, if the record has a real name (not “Customer” or the email address).

Product or category from the last order.

A date or deadline specific to the person: plan renewal, signup anniversary.

City or store, when the offer is local.

Rules from template review that affect copy:

the template can’t start or end with a variable;

variables must be sequential and can’t contain characters like
#
,
$
or
%
;

too many variables for too little text leads to rejection;

each variable needs a sample value when you submit for approval.

In practice: write the full sentence, then swap only the parts that change. “Hi, {{1}}! The {{2}} you saved just dropped in price.” works; “{{1}} {{2}} {{3}}” won’t pass.

And handle empty values in your system. If there’s no name, send a different template or a neutral greeting, never “Hi, !”.

Emojis in moderation

The components documentation doesn’t set a number of emojis, but the effect on reading matters: too many emojis look like spam and get in the way for people using screen readers.

A simple rule of thumb:

one or two per message at most;

use them when they replace or reinforce a word (📦 delivery, ⏰ deadline), not as decoration;

avoid them at the start of the message, where the hook goes;

don’t use emojis instead of information (“🔥🔥🔥” doesn’t say what the offer is).

Buttons or links in the text?

Prefer buttons. A URL button has short, clear text, sits in a fixed place and lets you measure clicks in Meta’s template analytics. A bare link in the body shows a long URL and competes with the copy.

Situation

Best option

Send people to an offer page

URL button, with a dynamic suffix if you need tracking

Simple answer (yes/no, pick an option)

Quick reply button

Leave the list

“Stop offers” quick reply button

Copy a coupon

Copy code button

Call the store

Phone number button

To track the click and the sale, the URL button accepts one variable at the end of the address. The step-by-step with UTMs is in the guide on dynamic URL buttons with UTM.

What gets templates rejected

The most common reasons, according to Meta’s template review, are variable formatting problems, content that violates policy (spam, scams, threats), requests for full sensitive identifiers (such as a complete ID number) and duplicate templates with the same text as an existing one. For marketing, another frequent stumble is the category: promotional content submitted as utility gets reclassified. The article WhatsApp template rejected has the full list and fixes, and the one on template categories explains the classification.

7 rewrites: before and after

The examples below show the technique in practice. Store names are fictional.

1. Generic promotion

Before: “UNMISSABLE SALE!!! 🔥🔥🔥 Grab our amazing deals, today only! Visit our website and check it out!”

After: “Hi, {{1}}! The sneakers you looked at last week are 20% off until Sunday. Only a few pairs left in your size.” Buttons: “See the sneakers” and “Stop offers.”

Why: it swaps adjectives for facts, personalizes with context and drops the excess emojis and capital letters.

2. Abandoned cart

Before: “Hello! You left items in your cart. Come back to complete your purchase.”

After: “Hi, {{1}}! We’re holding your {{2}} for 24 more hours. If you’d like, shipping to {{3}} is free today.” Button: “Complete purchase.”

Why: the hook is the product, and the value is a new reason to come back. See also recovering abandoned carts on WhatsApp.

3. Product launch

Before: “New at Example Store! We have a new product you’re going to love. Click the link to learn more.”

After: “Example Store’s new specialty coffee line is here, medium roast with 2-day delivery to {{1}}. Subscribers get 10% off their first order.” Button: “Explore the line.”

Why: it says what it is, who it’s for and what the perk of being on the list is.

4. Win back an inactive customer

Before: “We miss you! Come shop with us again.”

After: “Hi, {{1}}! It’s been a while since your last order. Here’s a $15 coupon valid until Friday on any order over $60.” Buttons: “Use coupon” and “Stop offers.”

Why: the emotional line becomes an offer with a value, a rule and a deadline, and leaving is easy for anyone who’s no longer interested.

5. Event invitation

Before: “Join our webinar! It’s going to be great, don’t miss it!!!”

After: “Thursday at 7 p.m., we’ll show live how to build the post-purchase sequence we use in our store. It’s 40 minutes, with Q&A at the end.” Button: “Save my spot.”

Why: date, time, topic and length answer questions before the customer has to ask.

6. Offer for a clinic or salon

Before: “Facial promo! Book now! 💆‍♀️💆‍♀️💆‍♀️”

After: “Hi, {{1}}! Message that’s too long

Before: a 900-character paragraph with the brand story, three products, coupon rules and two links.

After: “Hi, {{1}}! Reply STOP to opt out of offers.” Buttons: “Shop now” and “Stop offers.”

Why: one offer per message. Everything else goes on the button’s landing page.

Checklist before submitting for approval

Does the hook work on its own, in the notification preview?

Does the offer have a number, deadline or concrete condition?

Is there a single main CTA?

Are the variables in the middle of the text, with realistic samples?

Is there an opt-out button or instruction?

One or two emojis at most, not replacing information?

Is the chosen category marketing?

Have you read the message on a phone?

After approval, sending frequency matters as much as the copy. See the guide on broadcast frequency.

How to do this with Vectalk

In the Vectalk dashboard you create marketing templates with a header, a body with variables, a footer and buttons, and track Meta’s approval status. The Template Library helps you start from a ready-made structure, which you adapt with the techniques in this guide. You can also create templates through the API (create template) and send them with each contact’s parameters (send template).

Sending to your list happens in your system or in the campaign tool connected to the API. Each delivered message is deducted from your prepaid balance, with no card registered with Meta. Create your account at apps.vectalk.com.br/register and read the official WhatsApp API guide if you’re just getting started.

Frequently asked questions

What’s the ideal length for a WhatsApp marketing message?

Meta allows up to 1,024 characters in the body, but ideally the essentials fit in the first lines visible on a phone. One offer, one CTA and a way out.

Can I use capital letters to grab attention?

You can, but text in all caps reads like shouting and looks like spam. Use it for a single word, such as a coupon code, not for the whole sentence.

Should I always use the customer’s name?

Only when the data is reliable. A wrong or empty name is more off-putting than a neutral greeting. Personalizing with the product or context often works better than the name.

Can I put a shortened link in the message?

The components documentation doesn’t address URL shorteners. We recommend using your company’s own domain, preferably in the URL button: the customer recognizes where they’re going, and you measure the click through template analytics and UTMs.

How many buttons should I use?

Usually two: the main CTA and the opt-out. With more than three buttons, WhatsApp hides some of them behind “See all options,” which dilutes the main action.

<hr class="wp-block-separator
